Are You Using the Right Antivirus and Spam Solution for Your Business?

December 14, 2010 – 7:30 am

We all know that antivirus software and anti-spam protection are a necessity in today’s business world. No matter how secure your network is, no matter what steps you take to protect your computer system, and no matter if your network is hosted on a cloud infrastructure or onsite, viruses, Trojan horses, malware, and spam can bypass your firewalls and creep their way into your employees’ inboxes.

There are many products to choose from when considering the best antivirus solution for your business, but not all are created equal. Before you invest, investigate the options and understand the key differences between products made for consumer use and their more robust cousins aimed at keeping business networks safe.

The Problem

Although commercial computers experience infection rates half as much as consumer PCs, that doesn’t mean your company’s network is safe. Even with a staff of IT professionals working diligently to close off access points in your system, today’s virus developers are becoming increasingly sophisticated, figuring out new ways to attack. When attackers find one hole plugged, they simply move on to the next unprotected area. The tools of the trade are easier to get, and quicker to deploy, making it nearly impossible to keep up with the increasing number of threats.

The creators of malware often run illegitimate business that are more profitable than legitimate models. And when there’s a market, there’s sure to be any number of providers eager to get their share of it. Malware isn’t expected to be going away anytime soon – if ever.

The Fix

The biggest weapon a company has against malware is a late-release antivirus program that is continually updated with the latest security patches.

Most of us have heard of the common antivirus providers that offer a free basic product, such as Avira and Avast! along with upgrade options from McAfee, Symantec Norton, and Panda. Unfortunately, the majority of products aimed at the consumer market aren’t sufficient to protect a vast network integrated with mobile computing devices and a variety of platforms. Nor are these solutions truly scalable.

A better solution is to go with a product specifically created to provide more robust security in the commercial environment. Look for such features as quarantine management, fine level control, comprehensive reporting, deep level searching, and end user summaries.

Where your antivirus program resides is another consideration. Cloud technology is becoming an increasingly popular option for many businesses although some executives fear the removal of physical data from their onsite premises. Rest assured that most the cloud vendors use highly functional security patches. If you are still worried about the safety of your data on a cloud, ask the vendor to provide a copy of their SAS70, which shows exactly what measures are in place and how often the security updates are installed. Some cloud vendors include robust antivirus solutions in the price of their hosting packages, making it very affordable to keep your data safe and secure.

Whatever antivirus solution you choose, be sure that it will provide maximum protection. There are few things worse than losing your company’s records to malware or infecting the computers of everyone who logs onto your website.

Shopping for a Touchscreen Tablet? Some Options for Mobile Computing With a Tablet

December 7, 2010 – 7:00 am

Although Apple started the new revolution of mobile computing with its wildly popular iPad, many smartphone and netbook manufacturers are now jumping on the bandwagon. With so many consumers purchasing the Apple iPad, it just makes sense that the PC industry would want a piece of the tablet mobile computing pie. Dell, Samsung, Avaya, Lenovo, and Cisco have all recently announced plans to bring their own touch screen tablets to the market in the next several months.

With all these new tablets entering the market, how can you decide which one will provide the maximum computing, collaboration, and mobile unified communications capabilities? There are several considerations to take into account before shelling out your cash on a new mobile device.

Shopping for a Tablet? Factors to Consider

Let’s start with operating systems. Of course, the iPad uses Apple’s iOS, but the majority of new tablets hitting the market will be based on the Android OS made popular by the latest smartphones. The Android platform has already proven its exceptional capabilities for a wide variety of utilizations. Lenovo is the sole exception, opting for Microsoft’s Windows 7 OS.

Along with the Android OS, all will utilize 3G, the third generation of developments in wireless technology for increased bandwidth. Only one, the Avaya DVD, is instead offering Dongle for security authorization.

What about size and weight? At just a half a pound and with a tiny five-inch screen, the Dell Streak is the smallest of the new tablets. It’s also one of the cheapest, with a proposed price of $550; of course it also has the fewest features. At the top end of the scale is the Lenovo X201, which weighs in at three pounds but features a screen just over twelve inches.

When it comes to Wi-Fi technology standards, the choices are 802.11a, 802.11b, 802.11g, or 802.11n.Apple and Cisco are the only two manufacturers to currently offer them all.

As far as features in relation to price and size, none of the new tablets really comes anywhere close to what you get with the Apple iPad. Since it’s been on the market for a while now, the price has come down and it’s the beefiest when it comes to computing capabilities.

Tablet Mobile Computing Success

Unfortunately, tablets are not the best choice if you need heavy-duty computing functionality. But when it comes to communication and collaboration, a tablet is a good smartphone alternative. Email access, texting, and media playing are the best features on a tablet, taking smartphone capability to the next level by offering a larger screen. Another advantage of a tablet over a smartphone is the ability to use it as an eBook reader.

Since communication and collaboration are the two advantages of a tablet, it’s best to connect these devices with synchronization service for your business. Choose a service that updates data between devices immediately and wirelessly. It’s also a good idea to ensure that the synching works across platforms so that Apple and Android users can share calendars, contacts, and project notes. Some mobile syncing applications will offer extras, such as free antivirus and anti-spam service.

Some Disadvantages of Tablet PCs

The biggest disadvantage of a tablet is data input. Yes, the touch screen is larger than a smartphone, but tablets just aren’t set up to easily input data other than through check boxes. Freeform text and graphics are often a requirement of mobile computing in many businesses and any of the tablets currently available or proposed do not address this capability.

Tablets make mobile computing easier but they are not computing workhorses so may not be as productive as you’re hoping. You may want one now but look at your options before investing in one, particularly if you already own a smartphone and investigate available apps / software tools that could make your tablet work the way you need it too.

GetSync’d could be great for your tablet and GetSync’d customers also get free GetSecure antivirus and anti-spam protection.

Cross Platform Technology Options Can Connect Everyone in Your Business

November 30, 2010 – 7:16 am

Some business people may remember a time when everyone in the office – and outside of it – had to work on the same platform in order to share information, data, and communication. Simply sending a file created on a Mac to a user with a PC was difficult at best, annoying at worst. Of course, these days, technology has advanced to the point where staffers can work from anywhere, using any type of computing device. Let’s look at some of the best tools available to make mobile unified communications work for your business.

Computer Language

In the toss-up between HTML5 and Microsoft’s Silverlight, it looks like HTML5 will win for most software development applications while Silverlight may be key to future Windows smartphone apps. While both provide cross-platform functionality, they will have dual purposes. Android has been the leading OS in smartphones but Microsoft currently has plans to release a mobile device running Windows 7 in collaboration with tablet manufacturer Lenovo.

The wildly popular iPhone and iPad, of course, both use iOS, which is not as cross-platform friendly. Adobe Flash, while functioning across various platforms, may be on its way out, although Ajax shows promise as a viable replacement.

Another option for cross-platform language is Java. Java uses the source code of a program and compiles it into an intermediate language which can then be executed by an interpreter written specifically for a particular hardware platform. Java Virtual Machines executes on all hardware platforms although problems tend to arise when the interpreter is not as technologically current as the Java program development system.

Email Software

The top form of communication in the modern business is email. But no longer is a company tied to Microsoft Exchange Server to process electronic messages sent back and forth between staffers, vendors, and clients. A newer alternative is a cross-platform program, such as Kerio Connect, that works with any computing device whether it uses Linux, iOS, Windows, or an Android operating system. Kerio isn’t an onsite network, but is hosted on a virtual cloud.

Synchronization

When you are dealing with a number of users and a variety of devices, you may think it’s impossible to synch the calendars, notes, and contacts of all of them. But it is not only possible, it’s quite easy.

How does it work? By utilizing a cloud. Every device can connect wirelessly through a virtual network located offsite. Data from any type of computer or mobile device using any kind of software comes into the cloud, gets synched across devices, and immediately updates them all. This is a collaboration tool that is highly scalable and immensely affordable due to the cloud network and its software being maintained by the third party vendor.

Today there is no need to lose business opportunities due to an inability to integrate mobile and onsite computers using various operating systems or platforms. Cross-platform language, software, and sophisticated synchronization services are the partners your company needs to do business anywhere with anyone, regardless of the type of device being used.

Four Ways to Boost Your Mobile Productivity

November 25, 2010 – 9:09 am

Most of us are, for all intents and purposes, tethered to our mobile devices. Modern smartphones allow us to stay connected to the internet 24/7. But do you have the applications in place which allow you to be truly productive no matter your location? Here are five easy ways to boost your mobile productivity.

Microsoft Mobile and Windows Live

Most companies still use Microsoft Outlook for their email software. Windows Mobile and Live downloaded to your cell phone make the process of synching with the corporate server and backing up contact data easy.

GetSync’d Email, Contact and Calendar Synchronization

No matter what browser and what applications you use GetSync’d will keep your mobile device updated with the latest changes to contacts and calendars. It works with Microsoft Outlook as well as any number of other email systems. It also integrates the native browser on nearly any type of smartphone effortlessly.

Google Maps

If you don’t use an Android device that comes with Google Maps, it’s something you should consider downloading. The GPS capability is great – and it integrates with Windows Live Contact, which allows you to map any of your contacts. This is a cool way to find anyone, anytime and especially useful for salespeople.

Push Technology

What is push technology? It’s Internet-based communication that allows central server requests for transactions, such as email transmission. In the case of mobile devices, it allows you to sync data with the server. GetSync’d’s Hosted Kerio Connect solution uses push email and wireless groupware data synchronization. It works with your iPhone, Blackberry, Palm, or Windows Mobile device among others.

The key to staying coordinated and productive in a mobile work environment is putting together a system that works across platforms, applications, and devices. And that’s what you can expect when you choose Kerio Connect with push technology and GetSync’d data synchronization service.

Still Using a Free Email Account to Run Your Business?

November 23, 2010 – 8:05 am

It seems that email has taken over as the preferred form of communication between today’s vendors and clients and even management teams and employees. Of course, along with this popularity has come an ever-widening circle of options for creating, hosting, and networking email accounts. At first glance, it might seem as if a free email account is just as advantageous as one that utilizes your company’s domain name and comes with a full range of features. If you feel there’s truly no benefit to opting for a professional email account, then read on.

Is Yours a Professional Company?

No matter the size of your business, a hotmail.com or gmail.com could detract from your perceived professionalism by clients. It indicates that instead of a trusted company, yours could be a fly-by-night operation or worse – so technologically challenged that it cannot provide the necessary service or support to its customers. And if you are strictly using a webmail application, there simply is not enough functionality to get your business done when, how, and where it needs to happen.

Commercial Email Solutions

For many mid-sized and large businesses, setting up an onsite infrastructure with server hardware running Microsoft Exchange Server software is often the solution selected for providing domain name email accounts with a number of necessary features. Unfortunately, this system comes with its own disadvantages. It takes additional time and money for your IT department to set up a system that that can be accessed by in-house employees as well as those who work outside the office. Another option is Google mail. Google also allows you to create a domain name account for email and check it on the internet, but there are limitations as to how it can be accessed and by what devices. A better solution is to utilize a cloud-based infrastructure. You can use one along with Kerio email software, for instance, for your hosted account. One of its benefits is that you can use your domain name in your email accounts, but there are many more reasons that this is the superior solution to Microsoft Exchange. A hosted Kerio Connect mailbox system works anywhere with any type of device. These professional email accounts can be accessed in the office, via webmail application, or through any mobile device such as a smartphone or Blackberry.

It doesn’t matter what operating system or what browser the user employs; instant, reliable, and secure access is always available. If you want your company to be viewed as a professional and trustworthy organization, you simply must put further thought into your email system than going with the cheapest alternative. Instead, opt for a hosted account and a network infrastructure that eliminates problems while offering features that turn your business into a productive, scalable, and professional one.

With cloud-based Kerio Connect and Getsync’d, you’ve got it all – and it’s even quite affordable! Learn more about the advantages of a professional email account and the MS Exchange alternative called Kerio Connect at http://www.getsyncd.com.

How Facebook Could Affect Your Email Data Security

November 17, 2010 – 3:03 pm

Recently Facebook announced the offering of a new Facebook service, Messages. This application combines email, SMS, and live chat on a central “social dashboard” – but it also raises issues about the compromising of privacy and security.

Antivirus company Sophos has already identified some potential problems with the new application. One is the way many users allow any number of applications (think the Friend Finder feature or sharing crops on FarmVille) to access their personal data such as email contacts. These applications could, in turn, access the communications sent through Facebook Messages. Information and attachments could be compromised.

Facebook has also made it clear that they plan on archiving communications between members and storing that information in their database, presenting another security risk.

In effect, this widens the base of information hackers can hijack, making it a irresistible lure. There’s already been a potential security breach in the email system identified. Initial users who posted remotely through smartphones received a spam message about a “free Apple iPhone” that directed to a questionable website offering a get rich quick scheme.

The senior technology officer at Sophos recommends that Facebook users take care when allowing applications access to their data, and also changing passwords to more complex combinations.

The good news? If you’re using a Kerio Connect Email system hosted by GetSync’d, your account is already being protected by Sophos – and the latest updates are being installed constantly, as often as once an hour. It contains over 14 anti-spam layers to block up to 80% of spam messages before they reach your server and never make it into your inbox. Sophos works on incoming, outgoing, and relayed email messages and attachments.

You may want to refrain from using the new Facebook Messages application. It’s best to stay on the safe side and limit the amount of data communicated between you and your friends via a social media site. Chances are there’s any number of hackers already diligently working on a way to access Facebook’s newest database. But rest assured that GetSync’d has Sophos on your side combating spam, malware, and viruses threatening your email correspondence.
